1. Who are we
Prins Van Oranje, Halensebaan 152, 3290 Diest, Belgium. Phone 013 35 10 70, email [email protected]. We are responsible for the processing of your personal data as described below.
2. Which data we process
We only process data that you provide or that we need to deliver our services:
- Contact and requests: first name, last name, email address, telephone number and the content of your message.
- Business requests: name of your company or association and your VAT number, if you fill it in.
- Reservations: arrival and departure dates, number of guests, number of rooms and any requests.
- Parties and catering: date, number of people, type of occasion and catering preference.
- Billing: billing details, reservation number and payment details.
- Stay: data that we are legally required to keep for overnight guests.
Our website does not use tracking cookies or visitor analytics. Only the Google map on the contact page places cookies, and it is loaded only with your consent.
3. Why we use that data
- To answer your question or request and prepare a quote.
- To prepare and provide your stay, reservation or celebration.
- To invoice and keep our accounts.
- To comply with legal obligations, including the registration of hotel guests.
We will not send you advertising unless you specifically request it. We never sell your data.
4. On what grounds
We process your data to perform our agreement with you, with your consent when you contact us, and to meet our legal obligations for accounting and guest registration.
5. How long we keep them
- Requests that do not lead to a reservation: maximum twelve months.
- Details of a stay, celebration or meeting: for as long as needed to provide the service and throughout the applicable warranty period.
- Invoices and accounting documents: seven years, as required by law.
6. Who we share them with
We only pass on your data when necessary: to our booking engine for hotel reservations, to our accountant, to our email provider and to government services when required by law. All these parties are bound by confidentiality.
The website and restaurant and event reservations are processed using Cloudflare. Confirmation emails are sent through Resend. Stripe processes payment details for online event payments; our website stores payment references and payment status, not full card numbers. Hotel bookings are handled separately through the official Lighthouse booking engine.
7. Your rights
You have the right to access, correct or delete your data, or to restrict its processing. You may object to certain processing and request a transfer of your data. You may withdraw your consent at any time.
Send an e-mail to [email protected]. We will respond within thirty days.
If you are not satisfied with our answer, you can file a complaint with the Data Protection Authority, Drukpersstraat 35, 1000 Brussels.
8. Security
We take reasonable technical and organisational measures to protect your data against loss and unauthorized access. Our website runs entirely over a secure connection.
9. Cookies
This site stores a small technical file in your browser to remember your cookie preference. If you choose essential cookies only, we do not load the Google map. Processing needed to handle your request, reservation or payment is separate. You can change your preference at any time using the Cookie preferences link at the bottom of each page.
10. Changes
We may amend this privacy policy. The date at the top indicates when the last version was created.
