Team building in the rain: a practical plan for Diest

In autumn, a weather-dependent programme is less vulnerable to disruption when an alternative has already been discussed. You do not need to invent a rainy-day team-building plan that morning. Agree in advance on the activity, any indoor space and the point at which you will decide which programme goes ahead.

Be specific about the alternative

Write a complete second schedule alongside your outdoor programme. State where the group will go, who will give the instructions and what materials are needed. “We’ll do something indoors if it rains” gives participants and providers too little to work with.

Choose the same aim for both programmes, such as getting to know each other or working together. The format may differ: an outdoor task could give way to your own puzzle or discussion exercise, provided the venue permits it. Ask an external organiser what alternatives they offer and which conditions apply.

Do not assume an indoor space is available

An available meeting room is not automatically suitable for an activity involving movement, noise or movable materials. Discuss the activity, participant numbers and preferred layout with the venue. Ask explicitly whether the space and activity are compatible.

A room at Prins Van Oranje must be requested and confirmed separately. Do not assume that an indoor space is being held in reserve when you have only discussed accommodation or catering. Also state how much preparation and clearing-up time your activity needs.

Agree when the decision will be made

Ask the outdoor activity provider when a change is possible and on what grounds. Your own preference in rainy weather is different from the organiser’s decision about whether the activity can go ahead. Use current weather information in your preparations and follow the provider’s agreed instructions.

Choose one contact person to communicate the final schedule. Do not send participants several versions from different departments. If plans change, give the new address, meeting time and what people need to bring. A short, clear message works better than a long discussion in the group chat.

Explore indoor activities without assuming availability

Visit Diest lists escape rooms in its team-building overview. Ask the provider how many people can take part at once and how groups are divided. Check the game’s language, accessibility and available start times; these vary by activity.

If you would prefer to add culture, you can look at Diest’s current museum or cultural programme. A regular visit is not guided team building, and groups may need different arrangements. Contact the organiser in advance and allow ample time to travel between your hotel, meeting room and activity.

Keep your meal plans workable too

A changed programme may shift lunch or a break. Agree in advance whom you need to inform of a change and the deadlines for adjusting numbers or times. The hotel and activity provider do not necessarily have the same conditions.

Include both scenarios in your business enquiry. State which elements are fixed and which depend on the weather decision. Prins Van Oranje can then assess what is possible for meeting space, catering or accommodation while you agree the activity programme with the external provider.

Your practical checklist

  • There is a complete alternative programme with an address and schedule.
  • Any indoor space and activity have been expressly agreed.
  • The decision time and contact person are known.
  • The conditions for changes to the activity, room and catering have been read.

Put your plans into action

Discuss a room for your team day

Availability, the full price and arrangements are confirmed before you agree. A request does not reserve a hotel room or function room.
